How to take a clear photo of a document for faxing

A fax machine prints in black and white at a fairly low resolution. A photo that looks fine on your iPhone screen can arrive as a grey smudge if it was shot in dim light, at an angle or with a shadow across the page. A few simple habits make the difference between a fax the recipient can read and one they have to ask you to resend. These tips from faxfromiphone.ca apply to anything you'd fax: forms, letters, ID copies or receipts. Once your image is clean, you can send it as a PDF, PNG or JPG with FaxToFax.com from your browser.

Set up the shot

  • Use daylight from a window or a bright overhead light. Avoid the flash, which creates glare on glossy paper.
  • Put the page on a plain, dark surface such as a table or a folder so the edges stand out.
  • Flatten folds by pressing the page down or placing a heavy book along the top edge, out of frame.
  • Hold the iPhone parallel to the page, directly above it, so text doesn't taper at one end.
  • Watch for your own shadow, especially under ceiling lights. Shift your position until it's gone.

Use the scanner instead of the Camera app

The Camera app takes a photograph. The document scanner in Notes, and the Scan Documents option in the Files app, detect the page edges, correct the angle and increase contrast, which is exactly what fax needs.

  1. Open Notes, tap the camera icon in a new note and choose Scan Documents.
  2. Check the filter options in the scanner and pick black and white or greyscale for text documents.
  3. Let the scanner capture automatically when the yellow frame locks onto the page.
  4. Drag the corner handles if it misjudged an edge, then tap Keep Scan.
  5. Save and export as a PDF to the Files app.

Check it before you send

Zoom in on the smallest text on the page, such as a policy number or a date, and make sure every character is readable. If you can't read it zoomed in on your phone, the recipient won't be able to read it on paper.

Colour highlights and light blue ink often disappear in fax. If a key field was filled in with a light pen, go over it in dark ink and rescan. Signatures should be in black or dark blue.

It also helps to think about file size and page count. A multi-page scan of a thin form is usually small enough to attach easily, but very large photos can be slow to upload on a weak mobile connection. If you're on cellular data, move closer to Wi-Fi or wait for a stronger signal before attaching. And only include the pages the recipient asked for; extra blank backs or duplicate pages use up plan pages and make the fax harder to read. At faxfromiphone.ca we recommend a quick count of pages before you hit send.

Send the cleaned-up file

When the scan looks good, open Safari, sign in to FaxToFax.com with your email and one-time code, and attach the file to a new fax. You can send PDF, PNG or JPG, so a single photo works as well as a multi-page scan. Confirm the recipient's number when asked, send, and keep an eye on the status. A Delivered fax comes with a time-stamped receipt.

FAQ

How to Take a Clear Photo of a Document for Faxing: questions

Is a PDF better than a JPG for faxing?

For multi-page documents a PDF keeps the pages together in order. For a single page, a clear JPG or PNG works fine. FaxToFax accepts all three.

Why does my fax look darker than the original?

Fax converts images to black and white, so grey backgrounds and shadows can turn dark. Use the scanner's black and white filter and better lighting to keep the background white.

Can I fax a photo of a photo ID?

You can, but photos and holograms reproduce poorly in fax. Make sure the name and numbers are sharp, and only send ID to a recipient who has asked for it.

What if part of the page is cut off?

Retake the scan and adjust the corner handles before saving. Leave a small margin around the page so nothing at the edges, like a page number or signature, is lost.
